Poinsettia Pirates Swim Team Committee
The Poinsettia Pirates Swim Team (PST) Committee consists of the following officers: Manager, SAIL Rep, Treasurer, Volunteer Coordinator, Spirit Captain (Hospitality) and Concessions Director. The Head Coach is a non-voting member of the Committee and will be invited to attend all committee meetings. These volunteer swim parents/guardians manage the PST’s business planning and fiscal responsibilities.
Anyone is welcome and encouraged to attend committee meetings and should consider serving on the committee.
Responsibilities of the Committee
The committee meets on as needed basis to discuss
issues related to our organization as a whole.
The committee will be responsible for hiring coaches (head and/or assistant),
negotiating the coach’s salary, determining duties, and making the decisions
and purchases.
All committee members deliver to their successors all materials at the end of
the season, and no later than 30 days after the final meeting.
Committee members must be members of the organization and must maintain their
child's registration in good standing on the team, throughout their tenure on
the committee.
Any committee member becoming ineligible for membership in the organization
shall automatically forfeit his/her office and such vacancy shall be filled by
a majority vote of the committee.
A member of the committee may be removed from office by a majority
vote of the committee.
Any committee member may resign at any time.
Vacancies on the committee caused by any reason shall be filled by vote of the
majority of the remaining members, even though they may constitute less than
a quorum. A committee member, so appointed by the remaining committee members, shall fill
the respective term held by the director creating the vacancy.
Committee member serve without compensation, except that they are allowed advancement or reimbursement of expenses, approved by majority vote of
the committee, incurred in the performance of the duties specified in these bylaws.
Manager's Role
- Attend SAIL Board meetings when necessary
- Conduct committee and parent meetings
- Conduct and oversee purchasing or team equipment including shirts, caps, towels, anniversary rewards, etc.
- Recruit and hire coaching staff with assistance from the committee
- Maintain or delegate maintenance of the team website
- Oversee other committee volunteers
- Appoints special committees as needed
SAIL Representative's Role
- Attend all committee and member meetings
- Performs other duties as needed
- Serves as liaison to the Poinsettia Community Club or Home Owner’s Association (should a HOA be organized) and the coaches
- Coordinates the work of the committees in order that the purposes of the organization may be promoted
- Attends or provides a representative at all league meetings and report back to the committee
- Is the liaison between PST and other SAIL teams
- Coordinates the Poinsettia Pirates Swim Team responsibilities at the swim meets
Treasurer’s Role
- Is responsible for all financial matters of the Poinsettia Pirates Swim Team.
- Records all expenses and incomes in the accounting software purchased by PST.
- Preparation of the budgets and financial statements.
Volunteer Coordinator
- Works inside the PST website and coordinate volunteer efforts at the meets.
- Verifies all jobs are filled prior to the meet. In the event of unfilled volunteer spots, the volunteer coordinator will assign parents who have not volunteered to a job and notify them of their assignment.
- Verify that all volunteers are in their assigned roles at meets.
- Prints name tags for volunteers
Head Coach’s Role
- Meets with the committee to discuss the coaching responsibility according to the rules and regulations of the organization.
- With the assistance of the Assistant Coach, conducts and attends all swim practices, time trials, and attends all swim meets. Will be the primary coach for swimmers in the 11 and older divisions.
- Responsible for preparing the pool for practice and returning equipment to it's proper location after practices are finished.
- Attends parents meetings and committee/league meetings, when necessary.
- Is responsible for correcting errant swimmers at swim team practices, meets, and time trials.
- Contacts parents in the event a behavior problem should occur and reports the issue to the SAIL Rep(s) of the swim team.
- May assist in the hiring of an assistant coach or assistant coaches based on the approval of the committee. Salaries are negotiated between each coach and the SAIL Representative.
- To the best of their ability, the coach will be responsible for enhancing swim team members’ ability to perform the various strokes used in swim meets, in such a manner as to encourage and enhance self-improvement.
- Acts as a leader in promoting team spirit and demonstrate a positive attitude.
- Performs their duties in order that the purposes of the Poinsettia Pirates Swim Team organization be promoted.
- Maintains lifeguard certification and hold a current First Aid and CPR Training for the Professional Rescuer certification.
- Abide by all Head Coach guidelines as outlined by the league (SAIL) and as notified by the SAIL Representative. To view league guidelines check https://sail.swimtopia.com/.
Assistant Coach’s Role
- Assists the head coach in the responsibilities noted for the head coach.
- Assists with and attends all swim practices, time trials, and attends all swim meets. Will be the primary coach for swimmers in the 10 and younger divisions, with direction from the Head Coach.
- Responsible for assisting with preparing the pool for practice and returning equipment to it's proper location after practices are finished.
- Acts as a leader in promoting team spirit and demonstrate a positive attitude.
- Attends parents meetings and committee/league meetings, when necessary.
- Is responsible for correcting errant swimmers at swim team practices, meets, and time trials.

- May be required to perform additional duties, as needed, at the direction of the head coach.
- Performs their duties in order that the purposes of the Poinsettia Pirates Swim Team organization be promoted.

Spirit Chair's Role
- Coordinate spirit events (Spirit Breakfasts/Ribbons, Lunches, Kick-off, End of Year celebration, etc.) including spirit fundraisers (i.e., Chick-fil-A night, Moe's night, etc.)
- Arrange group outings
- Attend committee meetings
Concessions
- Prepare and run concession stand during home meets
- Coordinate with treasurer for collection of concessions money to be deposited
- Attend committee meetings
